What is Email Parse by Zapier?

Email Parse by Zapier is another one of the Zapier created apps that can help with speeding up your business processes. Email parsing is taking data straight out of a received email and formatting it to use elsewhere. Zapier combines this extremely powerful tool with their wide range of other applications to allow you to turn your inbox into a Zapier trigger.

However, you may not want to be sending emails to your business email or personal email. That’s why Zapier allows you to set up internal email addresses or "Mailboxes” in their Email Parse site. To get started, create an account on the site. Now, here’s how to set up your email parser Zap Trigger.

Setting Up a Zap with an Email Parse

1. Create your Zapier Mailbox

2. Send a Test Email

Zapier will give you an initial email address. In order to proceed, send an email from any email address to this inbox. After, click the "Refresh" button.

3. Rename your Mailbox

After your email lands in the mailbox, you can change the email address to customize it based on your organization preferences. Additionally, you can open other mailboxes to further organize your Zapier triggers.

4. Select your Data

To select the data fields you'd like to collect from incoming emails, all you have to do is highlight the text. Drag your cursor over your selection and it will prompt the input field you can see in the picture below. Enter the name of the field you'll be using and press "Save".

5. Save your Email Template

After selecting all of your fields, save your email template. This is known as your "original template"

Improve the Email Parser Accuracy

1. Provide feedback (accurate vs inaccurate)

Every email you receive, you can provide feedback based on how the emails selections look. Most of the time, the first few emails won't have exact, correct selections. In order to counteract this, you must consistently report whether or not your information is accurate. Typically it will take a few tries to get the selections accurate.

Report whether the selections the parser made was accurate or inaccurate. If its even slightly inaccurate, report the selections as inaccurate. This will pull up the email as an "extra template" that you can repeat the selection to improve future accuracy.

2. Edit the Extra Template

Within the extra template, select the data you were expecting the parser to highlight. This will prompt this selection bubble where you can select one of the previous selections. When you are finished selecting the correct data, save the extra template by clicking the blue button.

Set up the Zap Trigger

1. Create a Zap with Email Parser as a Trigger

Set up a Zap as usual and add Email Parser by Zapier as your trigger. The Parser does not have any action, it can only trigger Zaps. Select "New Email" as your Trigger Event.

This is an instantaneous trigger which means it will trigger your Zap immediately as soon as you receive an email to the inbox you set up earlier.

2. Choose the Account and Mailbox

After connecting and selecting your account, choose the mailbox you will be using within the Trigger. This should be the same mailbox you set up and named.

3. Test the Trigger

Test the trigger. If you see the email you sent to the mailbox initially come up including the data, you are all set. Similar to other actions, use the selected data you collected from the emails to populate the fields in your Action.

Congratulations! You now have a direct connection between your email and the most important software you use in your business.

    • Select Email, First Name, etc. with Parse > your preferred email marketing tool

  • Collecting Leads:

    • Parse email notification data from incoming leads > your preferred CRM

  • Schedule Meetings:

    • Receive email notification from form completion > set up a calendar event with the data

  • Set up Communication Notifications

    • Receive a new email > send a Slack notification to your team

  • Populate Databases

    • Collect a large amount of information from incoming emails> Sort the data into database fields for easy organization

  • Zapier’s example:

    • Receive new inquiry emails > sort them into a Google Sheet
